Sectional Student Branch Leadership Meeting Program

This program focuses on training sessions for the Executive Committee members of the Student Branches within a Section. These events are organized at a sectional level by the SSR and SSAC of each section and supported by R8 SAC. Leadership training that the Region supports is part of the exemplary Student Branch award and this program provides exactly this opportunity to the Student Branches. These events take place in only one Section at a time and are an excellent opportunity to prepare and grow IEEE student volunteers for leadership roles in their local units and beyond.

The program aims to:

  • Meet each other and create synergy and a spirit of cooperation between both students and student branches in each Section.
  • Provide IEEE operational knowledge especially for Region 8 and MGA Student Activities and guide Student Branches.
  • Create a space to answer questions, give feedback and motivate sections and Student Branches.
  • Accelerate student volunteers’ knowledge of the IEEE’s organization, student services, and resources.
  • Help student volunteers understand their roles within their local units and the entire organization.
  • Create a succession tool that develops and prepares future IEEE volunteer leaders.
  • Encourage student branch officers to transfer knowledge to their student members.
  • Give more contextualization and formation about IEEE and guide Student Branches.

Additional Rules

In addition to the General Terms and Conditions, the following rules apply:

  • Applications can be submitted by Sections only.
  • Participants should be students from the organizing Section, while Student Branch officers should be prioritized to participate.
  • The event should have at least 10 participants from at least 4 different Student Branches.
  • The program of the event should include at least one session for:
    • IEEE Structure and Opportunities
    • Successful Student Branch Management, including the following topics:
      • Student Branch Reporting
      • IEEE MGA & R8 Student Awards
    • Sharing Student Branches Latest Activity
    • Professional and Soft Skills Development Workshop
    • Student Branch Counselors Forum (optional)
      • In-person attendance from at least 3 Counselors from at least 3 different Student Branches is required.
    • Round Table Discussions with one of the following topics:
      • Best practices sharing
      • Collaboration between SBs
      • Any other topic of interest to students
  • Additional reporting requirements:
    • Minimum 5 photos to be attached, and at least one of them is a group photo for all the attendees to be used in social media later.
    • Feedback survey responses from participants.

Funding Specifications

The program provides financial support of up to $500, while the funding amount must not exceed 75% of the total event expenses. In case of Student Branch Counselors are invited and a Student Branch Counselors Forum is included, an additional funding of 200$ (total 700$ for the event) is offered.

 
 

Submission Requirements

The proposal must be maximum 6 pages (excluding endorsement letters) and contain the following information:

  • Description of the proposed Student Branch Leadership Meeting
  • Proposed Title, Date, Venue and Organizing Team
    • The organizing team should include SSR and SSAC
  • Preliminary Budget
  • Suggested Program and Time Schedule
  • Goals and KPIs
    • Provide a short timeframe with milestones

Judging Criteria

Proposals will be evaluated based on:

  • Solid content and planning
  • Benefits to students
  • Alignment with program goals
