Local Student Paper Contest Events Program

This program calls for section student activities and student branch leaders to submit their own version of a local student paper contest and get the chance to showcase their papers in the Regional Student Paper Contest.

The program aims to:

  • Giving incentives to IEEE Region 8 Sections and Student Branches for establishing local student paper contests.
  • Provide an opportunity to students to showcase their technical skills.
  • Promote Regional Student Paper Contest, as well as increase awareness and participation.

The program includes two distinct event types to be organized, for which two distinct reports must be submitted:

  • Local Student Paper Contest (required)
    • Dedicated to hosting the official competition where student papers are evaluated.
    • Adheres to the general R8 SPC rules regarding submission, evaluation, and finalist selection.
    • Requires a clear review process and submission structure.
  • Trainings for Student Paper Writing (optional)
    • Focused on educating students on research methodology, paper writing, and presentation skills.
    • Open only to Student Branches in order to propose workshops, seminars, and mentorship programs
    • It should be organized much prior to the contest (at least one month before) in order to train the students properly and act as a bootcamp for the main event.

Additional Rules

In addition to the General Terms and Conditions, the following rules apply:

  • Applications can be submitted by either Sections or Student Branches.
  • Participants of the local SPC events must be students affiliated with the organizing OU.
  • The local SPC papers cannot be published in conference proceedings with an ISBN.
  • Local contests must adhere to the rules of the R8 Student Paper Contest.
  • Student Branches that participate in Section events cannot host a separate LSPC event.
  • Winning papers from a local Section SPC must be submitted to the R8 SPC. While the internal number of awards at a Section SPC is not limited, a maximum of 5 papers per Section can be submitted to the regional contest. For these 5 papers, the following limits apply:  
    • 1 paper per SB with fewer than 100 student members
    • up to 2 papers per SB with 100-199 student members
    • up to 3 papers per SB with more than 200 student members

Funding Specifications

The funding amount must not exceed 80% of the total event expenses, while the provided financial support limits are the following:

  • The program is available only for Student Branches that haven’t been granted within the LSPC Program in the past 2 years. They can receive up to $100 funding for organizing a Local Student Paper Contest, which can be increased up to $200 if combined with a training event.
  • Sections not funded under the LSPC Program in the past two years can receive up to $600; others can receive up to $400. At least 50% of the funding must be allocated as awards for the Student Branches submitting papers selected for the regional SPC.
 
 

Submission Requirements

The proposal must be maximum 6 pages (excluding endorsement letters) and contain the following information:

  • LSPC event type (only contest or combined training and contest)
  • Description of the event
  • Proposed Title, Date and Venue
  • Organizing Team
  • Speakers (for the training) 
  • Jury composition and method of selecting the best papers (for the contest)
  • Preliminary Budget 
  • Suggested Program and Time Schedule
  • KPIs with a short timeframe and milestones

Judging Criteria

Proposals will be evaluated based on:

  • Solid content and planning
  • Alignment with program goals

Sections can apply only on Cycle 1, while Student Branches can apply only on Cycle 3.
